How to Automate Procore Workflows Without Browser Scripts

Procore's API covers project records and documents. RFI workflows, submittal review cycles, daily log aggregation, and cross-project reporting still require navigating the UI. Here's how to automate them.

Procore's automation gap

Procore is the dominant construction project management platform for mid-to-large GCs and owners. It has a REST API that covers core project data — projects, budgets, commitments, prime contracts, documents. For integrating Procore with accounting systems or ERP, the API is reasonably capable.

The workflow layer is a different story. RFI submission and response tracking, submittal review cycles, punch list workflows, daily log submission, and inspection tracking are all process-driven features that Procore's API exposes inconsistently or not at all. And for GCs working inside an owner's Procore instance — where they have project-level access but not admin API credentials — the API is often not available at all.

What request-layer automation covers in Procore

  • RFI status and aging — check open RFI status, response due dates, and overdue items across all active projects
  • Submittal review tracking — monitor submittal review status and approval queue across projects and reviewers
  • Daily log aggregation — pull manpower counts, equipment logs, and weather data across projects for executive reporting
  • Punch list completion — check punch list item status and completion rates by trade and location
  • Budget variance monitoring — pull budget vs. committed cost position without navigating per-project budget screens
  • Inspection and observation records — extract inspection results and safety observation data for compliance reporting
  • Subcontractor compliance status — check insurance certificate and prequalification status across the subcontractor list

The owner-hosted Procore problem

Many GCs and subcontractors work inside a Procore instance owned by the project owner. The owner controls the API credentials and the GC is a collaborator — they have web UI access but not API access. This is the majority of Procore usage in the field: the GC navigates the owner's Procore manually because they have no API key for that instance.

Request-layer automation handles this correctly. It uses the GC's login credentials for the owner's Procore — the same ones they use to navigate the web interface — not API credentials the GC doesn't have. The GC gets programmatic access to the owner's project management data without needing API credentials from the owner.

Cross-project executive reporting

Project executives overseeing multiple active projects need portfolio-level visibility — open RFI counts, budget variance by project, schedule adherence, manpower trends. Procore's cross-project reporting tools are limited. Building a portfolio dashboard requires either Procore's Business Intelligence add-on (significant license cost) or manual report extraction per project.

Request-layer automation can pull the relevant metrics from each project and aggregate them into a clean portfolio view, delivered to a spreadsheet or dashboard system, on a scheduled basis. No BI license required.
